Importing commercial air conditioners from China follows eight steps: define your technical specifications, confirm the certifications your market requires, vet the factory, place a trial order, agree payment terms, schedule production, prepare shipping documents and customs clearance, and set up after-sales support. This guide explains each step as it works in practice in 2026, based on how export orders are handled every day at our factory in Zhengzhou. Follow it and your first shipment should arrive certified, correctly specified, and ready to install.

Step 1: Define Your Technical Requirements

Most import problems start here, not at customs. Before you request a single quotation, lock down four things.

Climate rating: T1 vs T3

T1 units are designed for moderate climates. T3 units use larger condensers, high-temperature compressors, and protected electronics so they keep cooling in high-ambient regions such as the Gulf, where summer temperatures regularly pass 50°C. Voltage and frequency

Saudi Arabia, the Philippines, and most of the Americas use 60 Hz power; Europe, Africa, Southeast Asia, and most of the Middle East outside Saudi Arabia use 50 Hz. A 50 Hz unit on a 60 Hz grid will not run correctly. State voltage, phase, and frequency (for example, 380–415 V / 3 ph / 50 Hz) in every inquiry. Refrigerant regulations

Refrigerant choice is now a legal question, not just a technical one. In the EU, Regulation (EU) 2024/573 phases down high-GWP refrigerants: from 2027, self-contained air conditioners up to 12 kW must use refrigerants with a GWP below 150, which in practice means R290. Split systems up to 12 kW must use refrigerants with a GWP below 750 from 2029, so R32 remains compliant there. Buyers in other regions still commonly order R410A or R32, but confirm your national rules before fixing the specification.

Capacity units

Chinese factories quote cooling capacity in kW; American-influenced markets use BTU/h; chiller buyers often use refrigeration tons (RT). The conversions: 1 RT ≈ 3.517 kW, and 1 kW ≈ 3,412 BTU/h. Put capacity in writing in one agreed unit — whether you are buying VRF systems for a hotel or a single rooftop unit — so nobody sizes off a rounded figure.

Step 2: Check Certification Requirements by Market

Every destination market has its own conformity scheme, and goods without the right certificate can be blocked at the port of import. Confirm requirements before production starts, because some registrations take weeks.

Step 3: Vet the Supplier

The single most important distinction is factory versus trading company. A trading company adds margin and cannot control production quality or after-sales spare parts. Ask for the Chinese business license and check that its registered scope includes manufacturing, then verify the factory address matches where your goods are made.

A practical vetting checklist:

  • ISO 9001 quality management certification, valid and in the manufacturer’s own name.
  • Test reports for the exact model you are buying — not a generic brochure. Performance data should match the datasheet.
  • A live video factory tour. Any real factory can walk you through its production line and testing lab on a video call within a day or two.
  • Export references in your region, ideally projects you can see or buyers you can contact.

Step 4: Start with a Trial Order

You do not need a container to test a Chinese supplier. Factories like ours typically accept single-unit trial orders on standard models — for example a light commercial AC unit or a fan coil sample batch. For central plant equipment such as VRF systems and modular chillers, ask about a small pilot configuration, quoted per project. A trial order lets you verify real performance against the datasheet, inspect export packaging, and test the supplier’s communication and documentation before you commit to a project quantity. Treat it as a paid audit: the unit itself is usually sellable stock afterwards.

Step 5: Payment Terms

The standard flow starts with a proforma invoice (PI): the supplier issues a PI listing model numbers, specifications, unit prices, incoterm, delivery time, and bank details. Your deposit against the PI is what starts production.

Common payment structures in the HVAC export trade:

  • T/T (bank transfer): a deposit (commonly around 30%) with the balance paid before shipment. This is the standard arrangement for trial and mid-size orders.
  • L/C at sight: typically used for larger project orders, where an irrevocable letter of credit protects both sides.

We accept both. Be cautious of any supplier demanding 100% payment upfront on a first order, and always confirm bank details by a second channel before transferring.

Step 6: Production and Lead Times

Standard models are sometimes in stock and can ship within days. Produced-to-order equipment — T3 versions, 60 Hz builds, specific configurations of air-cooled chillers or VRF combinations — typically takes 15–30 days from deposit to ex-works readiness. Add sea freight on top: depending on the route, transit commonly runs from about two weeks to Gulf ports up to five or six weeks to parts of Europe, Africa, or Latin America. Ask your supplier for a production schedule with the order confirmation, and request photos or a video of your units during factory testing.

Step 7: Shipping, Documents and Customs

Commercial AC equipment ships by sea, packed in export cartons and, for heavier units, wooden crates or plywood cases that protect coils and panels during handling.

The core document set your customs broker will need:

  1. Commercial invoice — values and HS codes for duty assessment.
  2. Packing list — carton/crate contents, weights, and dimensions.
  3. Bill of lading (B/L) — issued by the carrier; needed to release the goods.
  4. Certificate of origin — a Form E (China–ASEAN) or RCEP certificate can qualify your shipment for preferential import tariffs in eligible countries, so ask for it whenever your market participates.
  5. Market-specific certificates — SABER shipment certificate, ECAS, CE declaration, or inspection reports as required.

On incoterms: EXW means you collect from the factory gate, FOB means the supplier delivers loaded on board at a Chinese port (the most common choice for buyers with their own forwarder), and CIF means the supplier also arranges freight and insurance to your port.

Step 8: After-Sales Support

Commercial HVAC is not a ship-and-forget product. Before ordering, confirm what happens after delivery. A capable factory should provide installation drawings and wiring diagrams with the shipment, remote commissioning support by video call for your local technicians, and a clear warranty — ours runs 12 months from commissioning, up to 18 months from the shipment date. For remote sites, order a spare parts kit (sensors, boards, valves) with the main shipment so a minor fault never waits weeks for a part.

Common Mistakes First-Time Importers Make

  • Ordering T1 units for a high-ambient market, then losing compressors in the first summer.
  • Leaving certification until the goods are ready — SABER and ECAS registration should start before or during production.
  • Comparing quotations on unit price alone, ignoring refrigerant type, compressor brand, and coil specification.
  • Never confirming voltage and frequency in the proforma invoice.
  • Skipping the pre-shipment inspection and ordering no spare parts.
